Mobile Device Setup and Syncing

Overview

This guide provides step-by-step instructions for setting up mobile devices to access company resources securely. It covers both iOS and Android devices and includes syncing email, calendars, and contacts.

1. Pre-Setup Requirements

  • Device Compatibility: Ensure your mobile device meets the company’s compatibility requirements.

  • Wi-Fi Connection: Connect to a secure Wi-Fi network for the setup process.

  • Company Credentials: Have your company email address and password ready. If applicable, obtain any additional settings (e.g., server addresses) from your IT department.

2. Setting Up Company Email

For iOS Devices

  1. Open Settings: Tap on the Settings app on your home screen.

  2. Select Mail: Scroll down and select Mail.

  3. Add Account: Tap on Accounts, then Add Account.

  4. Choose Account Type: Select the appropriate account type (e.g., Microsoft Exchange, Google, or Other).

  5. Enter Account Information:

    • Email Address: Enter your company email address.

    • Password: Enter your email password.

    • Description: Optional; enter a description for the account (e.g., "Work Email").

  6. Configure Server Settings: If prompted, enter the incoming and outgoing mail server settings provided by your IT department.

  7. Sync Settings: Choose what you want to sync (Mail, Contacts, Calendars, Reminders).

  8. Save: Tap Save to finish the setup.

For Android Devices

  1. Open Settings: Tap on the Settings app.

  2. Select Accounts: Scroll down and select Accounts or Users & Accounts.

  3. Add Account: Tap on Add Account and choose the appropriate account type (e.g., Exchange, Google).

  4. Enter Account Information:

    • Email Address: Enter your company email address.

    • Password: Enter your email password.

  5. Configure Server Settings: If prompted, enter the server settings as provided by IT.

  6. Sync Settings: Select what you want to sync (Mail, Contacts, Calendars).

  7. Finish Setup: Tap Done to complete the setup.

3. Syncing Calendar and Contacts

When setting up email, calendars and contacts should automatically sync if selected. If you need to add these manually, follow these steps:

For iOS

  • Contacts: Go to Settings > Contacts > Accounts. Tap on your email account and ensure Contacts is turned on.

  • Calendar: Go to Settings > Calendar > Accounts. Tap on your email account and ensure Calendars is turned on.

For Android

  • Contacts: Open the Contacts app and ensure that your company account is set as the default for contacts.

  • Calendar: Open the Calendar app, tap on Menu > Settings and ensure your company account is selected for syncing.

4. Configuring Security Settings

  • Enable Lock Screen: Go to Settings > Security and set a secure lock screen (PIN, password, or biometric).

  • Install Security Software: If required, install company-approved security or VPN applications.

  • Enable Remote Wipe: Ensure that the remote wipe feature is enabled, if applicable.

5. Troubleshooting Common Issues

  • Email Not Syncing: Check internet connection, ensure login credentials are correct, and verify that sync settings are enabled.

  • App Crashes: Restart the device, update the app, or reinstall it if necessary.

  • Forgotten Password: Use the company password recovery process or contact IT support for assistance.
